Who We Are
Mobility Minder is a service plan for stairlifts, mobility scooters and powerchairs in Ireland, and the data controller for the personal information described on this page. We decide what is collected and why, and we are responsible for looking after it.
We collect only what you give us and what is needed to run your plan. There are seven places it comes from. For each one, here is what we collect, why, the legal basis we rely on, and how long we keep it.
The Plan Signup Form
What We Collect
Your name, phone number, email address and the full address where the equipment is kept; your equipment band and plan; its make, model, serial number, current condition, installation or purchase month, last-service month and service provider if known; how you want to complete the equipment check; any discount or referral code you enter and the approved seller, repair partner or offer linked to it; and anything you write in the message box.
Why
To confirm your equipment band, send you the written plan terms and set up your plan if you accept them.
Legal Basis
Taking steps at your request before entering a contract, then the contract itself once your plan starts.
How Long We Keep It
For as long as your plan runs, plus [retention period to be confirmed by our solicitor]. A request that doesn't become a plan is kept for [retention period to be confirmed by our solicitor].
The Contact and Minder Line Forms
What We Collect
Your name, a phone number or email address, your Minder ID if you give it, and your message or question.
Why
To answer you. Members' questions may be noted on the service record for the product they concern.
Legal Basis
Our legitimate interest in answering the people who write to us, and the contract for members.
How Long We Keep It

The Partner Forms
What We Collect
Your company name, website, contact name, phone number and email address, the kind of partner you are, the brands you sell or repair, a warranty contact, and your message. A partner shop's register-your-customer form also gives us the customer's name, contact details, product and purchase date.
Why
To set up and run a partnership, issue referral codes, process warranty work and apply a customer's discount or free month.
Legal Basis
Taking steps at your request before a partner agreement, then the agreement itself. For a customer registered by a shop: the plan contract and our legitimate interest in applying the discount they were promised.
How Long We Keep It
For as long as the partnership runs, plus [retention period to be confirmed by our solicitor].
Equipment Check Evidence
What We Collect
The video and photos you upload through your private link, plus any make, model, serial number, installation or purchase month and service-history details you provide. Video or photos may show part of your home and the people in it. If you choose a free assessment, we also collect the address, phone number and preferred time needed to arrange it.
Why
To confirm that the equipment is working and eligible before a plan is activated. A recent approved partner job or a free assessment can be used instead of uploading video and photos.
Legal Basis
Taking steps at your request before entering the contract. Partner-route customers may use the partner's job report as the evidence.
How Long We Keep It
[retention period to be confirmed by our solicitor]. Evidence is viewed only by our office and engineers, used for the eligibility review and never published.
Your Service Record and Minder ID
What We Collect
Your Minder ID, your name and address, the product on the plan, and every service, repair, battery test, inspection and part logged against it, with the date and who did the work. Partner repairers and shops can add entries for work they carry out.
Why
To run your plan: schedule your annual service, count your included call-outs, follow the battery schedule and answer warranty questions. A copy is yours on request.
Legal Basis
The plan contract, and our legitimate interest in keeping an accurate history of the equipment we are responsible for.
How Long We Keep It
For as long as your plan runs, plus [retention period to be confirmed by our solicitor] so that a later question about the work can be answered.
Cookies and Server Logs
What We Collect
Our web server records the pages requested and the IP address they came from, as every web server does. Cookies are described in section 7.
Why
To keep the website running safely and to spot abuse.
Legal Basis
Our legitimate interest in the security of the website.
How Long We Keep It
Server logs are kept for [retention period to be confirmed].
We do not collect payment card or bank details on this website. After the office approves the signup, we send the written terms and a secure payment link. The plan does not become active until payment is set up.
The GDPR lets us use your information only where we have a lawful reason. We rely on three, and on nothing else.
Contract
Most of what we do is running your plan or getting ready to: confirming your band, sending the written terms, booking services and repairs, keeping your service record, applying a partner discount. That's steps at your request before a contract, then the contract itself.
Legitimate Interests
Answering people who write or ask for a callback, keeping an accurate history of the equipment we're responsible for, keeping the website secure, and dealing with a question or complaint after a plan ends. We've weighed each of these against your interests and none of them overrides your rights.
Consent
Only for things that aren't needed to run your plan: analytics cookies, and any news from us you choose to receive. You can withdraw consent at any time and it changes nothing about your plan.
What We Never Do
Sell or rent your information to anyone.
Send marketing you haven't asked for.
Make automated decisions about you, or profile you.
Move your information outside the EEA, other than through the providers in section 5.
We keep your information for as long as we need it for the reason we collected it, and no longer. The periods for each kind of information are listed beside it in section 2; the ones in [square brackets] are being confirmed with our solicitor and will be filled in before any plan starts.
While your plan runs, we keep everything needed to run it: your details, your service record and your Minder ID.
After your plan ends, we keep your service record and plan details for [retention period to be confirmed by our solicitor], so that a later question about the work can be answered and we can meet our legal obligations.
Equipment-check videos, photos and visit details are kept for [retention period to be confirmed by our solicitor] and then deleted.
Enquiries that don't become a plan are kept for [retention period to be confirmed by our solicitor] and then deleted.
When a period ends we delete the information, or remove anything that identifies you from it.
Your information stays with us, with three exceptions. We never sell it, and we never share it for anyone else's marketing.
Partner companies, for jobs on your equipment. When a partner repairer or the shop you bought from carries out a service, repair or warranty job on your product, they receive what they need to do it: your name, address, phone number, Minder ID and the product details. Partners who add work to your service record see the entries for that product. Mobility Repair, our first partner repairer, provides the engineers who carry out your plan visits.
Our email provider. Messages sent through the forms on this website, and our replies, pass through [email provider to be confirmed], which processes them on our instructions and for no other purpose.
Where the law requires it. If a court, the Data Protection Commission or another authority lawfully requires information from us, we provide only what is required.
Our providers are bound by written contracts to process your information only on our instructions. Where a provider is based outside the EEA, we rely on the safeguards the GDPR allows, such as the European Commission's standard contractual clauses.
Under the GDPR you have rights over your information. To use any of them, email hello@mobilityminder.ie or call 087 737 9265. We reply within one month, and there is nothing to pay.

ComplainComplain to the Data Protection Commission, Ireland's supervisory authority, at any time. See section 8.
A family member can ask on your behalf with your permission. We may ask a question or two to make sure we're talking to the right person before we release anything.
A cookie is a small file a website stores on your device. This website uses as few as it can.
Essential Cookies
Only what the website needs to work, such as remembering a partner shop's referral code for [cookie duration to be confirmed] after you arrive through their link, so your discount is applied when you request a plan. These don't need consent, and they don't track you across other websites.
Analytics Cookies
Only after you consent. If we add analytics ([provider to be confirmed]), it will run only after you say yes in a cookie notice, and the website works just the same if you say no. You can change your mind at any time from that notice.
We don't use advertising cookies, and we don't embed social-media buttons that set cookies of their own. Fonts are loaded from Google Fonts, which may record the request as described in Google's privacy notice.
Questions about this page, or about anything we hold on you, come to our office first. We'd rather fix a problem than have you go without an answer.

If you're not happy with our answer, you have the right to complain to the Data Protection Commission, Ireland's supervisory authority, at any time.
